Terms of Service

These terms explain how schools, staff, parents, students, partners, and administrators may use SchoolOS.

1. Agreement to these Terms

These Terms of Service govern access to and use of SchoolOS websites, dashboards, school portals, APIs, and related services. By creating an account, using a school portal, or accessing SchoolOS on behalf of a school, you agree to these Terms.

If you use SchoolOS for a school, company, partner, or other organization, you confirm that you have authority to accept these Terms for that organization.

2. What SchoolOS provides

SchoolOS provides cloud software for school operations, including registration, school websites, student records, staff management, fees, parent communication, results, reports, and related administrative workflows.

SchoolOS is not the school, employer, bank, payment processor, examination body, or government authority. Schools remain responsible for decisions made using the platform and for the accuracy of their records.

3. Accounts and authorized users

You must provide accurate account information and keep login details secure. School administrators are responsible for inviting the right users, assigning the right roles, and removing access when a user leaves the school.

Parents, students, staff, and partners must use only the accounts, portals, and data they are authorized to access.

4. School data and user content

Schools own and control the school records, files, messages, results, invoices, receipts, website content, logos, and other information they enter into SchoolOS.

You grant SchoolOS permission to host, process, transmit, back up, and display that content only as needed to provide, secure, support, and improve the service.

  • Do not upload content you do not have permission to use.
  • Do not enter false, misleading, abusive, or unlawful information.
  • Do not publish private student, parent, staff, or school information unless the school is permitted to do so.

5. Payments, subscriptions, and renewals

Paid plans, setup fees, SMS/email credits, partner services, and other chargeable items are billed according to the plan, invoice, order form, or agreement accepted by the school or partner.

Unless a written agreement says otherwise, subscriptions renew until cancelled. Failure to pay may lead to restricted access, suspension, or termination after reasonable notice.

6. Acceptable use

You must use SchoolOS lawfully and respectfully. You may not attempt to disrupt the service, bypass security, spam users, impersonate others, misuse student data, upload malware, or use SchoolOS for fraudulent activity.

Our Acceptable Use Policy forms part of these Terms.

7. Third-party services

SchoolOS may connect with services such as email providers, SMS providers, payment processors, hosting providers, analytics tools, or identity/security services. Those services may have their own terms and privacy practices.

SchoolOS is not responsible for failures caused by third-party networks, banks, payment gateways, email inboxes, mobile carriers, or user devices outside our control.

8. Availability, updates, and support

We work to keep SchoolOS reliable and secure, but no online service can guarantee uninterrupted availability. Maintenance, upgrades, internet issues, provider outages, or emergencies may affect access.

We may update features, interfaces, workflows, or technical requirements to improve security, reliability, usability, or legal compliance.

9. Suspension and termination

We may suspend or restrict access if there is unpaid billing, security risk, illegal use, misuse of student data, violation of these Terms, or activity that could harm schools, users, or the platform.

A school may stop using SchoolOS subject to its active billing agreement. Data export, deletion, and retention are handled under our Privacy Policy and Data Processing Addendum.

10. Warranties and liability

SchoolOS is provided on an as-is and as-available basis to the fullest extent permitted by law. We do not promise that every feature will meet every school process, that data entered by users will be accurate, or that third-party services will always work.

To the fullest extent permitted by law, SchoolOS will not be liable for indirect, incidental, special, consequential, or punitive damages, loss of profits, loss of goodwill, or loss caused by unauthorized use of an account.

11. Changes to these Terms

We may update these Terms as SchoolOS grows, laws change, or new features are introduced. If a change is material, we will take reasonable steps to notify affected users or schools.

Continued use of SchoolOS after an update means you accept the updated Terms.
