1. Our privacy role
SchoolOS provides software that helps schools manage operations. For most school records, the school decides what data is collected and how it is used, and SchoolOS processes that data on the school's behalf.
For platform accounts, billing, support, security, website analytics, and direct communications with SchoolOS, we may act as the organization responsible for that information.
2. Information we collect
We collect information needed to create accounts, operate school workspaces, process support requests, protect the platform, and improve the service.
- Account details such as name, email address, phone number, role, password hash, school name, and login activity.
- School profile details such as school name, code, portal address, logo, address, country, currency, contact details, website content, and settings.
- School records such as student, parent, guardian, staff, class, attendance, finance, fee, receipt, communication, admission, assessment, and result data entered by authorized users.
- Technical data such as browser, device type, IP address, approximate location, pages visited, errors, security logs, and performance information.
- Billing and transaction metadata from payment providers. We do not intentionally store full card numbers where a payment processor can handle them securely.
3. How we use information
We use information to provide the SchoolOS service, authenticate users, deliver school portals, send email or SMS messages, process payments, support schools, detect abuse, troubleshoot issues, improve performance, and comply with legal obligations.
We may use aggregated or de-identified information to understand product usage and improve SchoolOS, but this should not identify an individual student, parent, staff member, or school user.
4. Student and child data
Student data is sensitive. Schools are responsible for obtaining any required permissions from parents, guardians, staff, or students before entering data into SchoolOS.
SchoolOS does not sell student data. We use student data only to provide, secure, support, and improve the school services requested by the school.
5. Sharing information
We share information only when needed to provide the service, when directed by a school, when required by law, or when necessary to protect users and the platform.
- With authorized school users according to roles and permissions configured by the school.
- With service providers that help us host, secure, email, message, analyze, support, back up, or process payments.
- With partners or resellers where the school is onboarded through that partner relationship.
- With authorities, courts, regulators, or affected parties when legally required or necessary to prevent harm, fraud, or abuse.
6. Security
We use technical, administrative, and operational safeguards designed to protect data against unauthorized access, loss, misuse, or alteration. These safeguards may include encryption, access controls, audit logs, backups, monitoring, and secure development practices.
No system is perfectly secure. Schools and users must also protect accounts by using strong passwords, managing roles carefully, and reporting suspected compromise quickly.
7. Retention and deletion
We keep information for as long as needed to provide SchoolOS, satisfy school instructions, meet legal or accounting obligations, resolve disputes, prevent abuse, or enforce agreements.
Schools may request export or deletion of school records subject to active billing, legal retention duties, backup cycles, and technical limitations.
8. Your choices and rights
Depending on your location and relationship with SchoolOS, you may have rights to access, correct, export, restrict, object to, or delete personal information.
Parents, students, and staff should usually contact their school first because the school controls most school records. If you contact SchoolOS directly, we may need to involve the school before acting on the request.
9. International processing
SchoolOS and its providers may process data in countries where we or our service providers operate. We take reasonable steps to protect information when it is processed across borders.
